WhatsApp Business automation for a small business: start free, scale later

The free WhatsApp Business app already does more than most people use. Here's what to turn on first, and the honest signal for when you actually need the paid API.

For most small businesses, WhatsApp is already where customers are. The question isn't whether to use it — it's how to handle the messages without living inside the app. The free WhatsApp Business app already does more than people use: a greeting message that replies the moment someone first writes, an away message for outside working hours, quick replies for the questions you answer ten times a day, and labels to track who is a new lead and who is already a customer.

Set those four up first, because they cost nothing and pay back immediately. A greeting message means a customer who writes late at night gets an instant, professional reply instead of silence. Quick replies mean your rates, your services, and your address are one tap away instead of retyped each time. Labels turn a messy chat list into a simple pipeline you can actually see.

What the free app can't do is connect to your other systems or run a real automated flow. It can't pull an order from your website, look up a customer in a sheet, or branch a conversation based on what someone picks from a menu. For that you need the WhatsApp Business Platform (the API) — a bigger step: it's paid, billed per conversation, set up through a Meta-approved provider, and only worth it once your message volume is high enough to justify the cost.

The honest line between the two: stay on the free app until you're missing or losing messages because there are simply too many to handle by hand. That is the real signal to move to the API — not the wish for a fancy bot. A bot that answers wrong is worse than a human who answers a bit late.

One number, one app: a phone number can only live in one WhatsApp app at a time. If you want to keep work and personal separate, the cleanest setup is a dedicated number for the business on WhatsApp Business and your personal number on regular WhatsApp — both can sit on the same phone.

Start small: turn on the greeting message and three quick replies today, and watch how it changes the first impression for a week. Add labels once you have more chats than you can remember. Reach for the API only when the volume genuinely outgrows you.
